Workspace collaboration

One shared link library, three clear roles

Invite colleagues into a workspace instead of passing a login around. Admin, editor and viewer are enforced on the server, and so is the number of seats your plan includes.

Quick answer

What is a shared link workspace?

A workspace is a shared link library: the links, folders, tags, custom domains and click analytics that a group of people work in together. In ClikSo each member holds one of three roles — admin, editor or viewer — and the number of members is limited by plan: 2 seats on Starter, 5 on Pro, 12 on Business.

  • Seats are enforced by the server — active members plus pending invitations count
  • Invitations go out by email and stay valid for 7 days
  • One login can belong to several workspaces, with a switcher in the navbar
  • Roles are workspace-wide: there are no per-folder or per-link permissions

How workspace collaboration works

Four steps, and none of them involve sharing a password.

  1. Open your workspace

Every ClikSo account starts with a workspace, and every link, folder, tag, custom domain and click belongs to one. Sharing your link library means inviting someone into the workspace, not handing over a login.

  2. Invite by email and pick a role

Enter a colleague’s email address, choose admin, editor or viewer, and send. They get an email invitation they can accept or decline; the invitation is valid for 7 days, after which you send a new one.

  3. The seat count is checked as you invite

The invite form shows how many of your plan’s seats are used, counting people who have joined plus invitations still waiting. Past the limit the server refuses the invitation rather than letting the workspace quietly overfill.

  4. Change a role, or remove someone, at any time

An admin can re-role or remove a member from the member list, and removing someone frees the seat immediately. Roles apply to the whole workspace, so changing one takes effect everywhere in it at once.

Who can do what

Three roles, and no hidden fourth one. Only changes are gated, never reads.

The same three roles are available on every plan that includes more than one seat.

Who it's for

Anywhere more than one person needs the same link library and not the same level of access.

An agency and its clients

Give the client a viewer seat so they can see the links and the click reports for themselves, without any way to edit a destination in the middle of a campaign.

A marketing team with one brand

Everyone who ships links is an editor; the person who owns the domain and the bill is an admin. Nobody has to share a password to publish a link.

Contractors and freelancers

Bring in a contractor as an editor for the length of a project and remove them at the end. The seat comes back, and everything they built stays where it is.

Stakeholders who only want numbers

A viewer can open every link, every folder and the whole analytics dashboard, and can change nothing. It is the role for the people who ask for a weekly number.

Separating billing and domains from day-to-day work

Custom domains, API keys, plan changes and member management are admin-only. An editor can be fully productive without ever being able to touch the DNS or the card on file.

Working in more than one workspace

You can be a member of several workspaces and switch between them from the navbar — useful when you work with more than one client or brand that each pay for their own plan.

Seats and roles across link shorteners

The row that decides most of these evaluations is the second one: what it costs to get a second person into the account at all.

Good to know

  • Roles are workspace-wide. There are no per-folder or per-link permissions, so an editor can edit any link in the workspace — if two groups of links need genuinely separate access, use separate workspaces.
  • Every member can read everything. Viewers see every link, every folder and the whole analytics dashboard; the role controls what can be changed, not what can be seen.
  • The seat limit counts pending invitations. An invitation that has been sent but not yet accepted occupies a seat until it expires after 7 days, so a batch of invitations cannot overfill a plan.
  • Every account has one default workspace that’s free forever. Each extra workspace needs its own paid plan. You can choose which workspace is your default. An extra workspace whose paid plan ends becomes read-only, and its short links keep working. You can join as many teams as you’re invited to.
  • Invitations expire after 7 days. One that has not been accepted by then stops working and has to be sent again — which is also when the seat it was holding is released.

Workspace seats by plan

Every plan has a workspace; paid plans add seats. Shared workspaces pair with link folders for structure and the REST API, whose keys are admin-only and pinned to one workspace.

Frequently asked questions

An admin enters their email address, picks a role — admin, editor or viewer — and sends the invitation. The person gets an email and can accept or decline it. Invitations are valid for 7 days, after which you send a fresh one.

Admins can do everything, including custom domains, API keys, member management and billing. Editors can create, edit and delete links and manage folders and tags, but nothing at the workspace level. Viewers are read-only. Every role can see every link and the full analytics dashboard — only changes are restricted.

One on Free, two on Starter, five on Pro and twelve on Business, with a custom number on Enterprise. The limit is genuinely enforced by the server, not just hidden in the interface.

The invitation is refused with an upgrade prompt instead of going out. The seat count includes people who have already joined plus invitations that are still pending and have not expired, so you cannot oversubscribe a plan by sending invitations in a batch.

Yes. A single ClikSo login can be a member of several workspaces and switch between them from the navbar, with a separate role in each. That is how agencies work inside client-owned accounts without a second login.

Yes. Every account has one default workspace that’s free forever. Each extra workspace needs its own paid plan, which you pick when you create it. You can choose which workspace is your default. An extra workspace whose paid plan ends becomes read-only, and its short links keep working. You can join as many teams as you’re invited to.

Not on its self-serve plans. Free, Core, Growth and Premium are all single-seat, including Premium at $199 per month billed yearly — multiple users, groups and role permissions require an Enterprise quote. ClikSo includes a second seat from its Starter plan, with admin, editor and viewer roles.

No. A ClikSo workspace is a shared link library inside ClikSo — links, folders, tags, custom domains and click analytics that several people can work in. It is not a Microsoft Teams app and has no connection to Microsoft 365.

Starter, at $4.99 per month billed yearly or $6.99 monthly, which includes two seats. Pro includes five and Business includes twelve; Enterprise is a custom seat count.
